Finding a Tenant
Using our software, make comprehensive listing notes about your property, special features that will enhance the value of your property to your tenant.
Photograph the property where appropriate and an advert composed. We will have the property listed on real estate web sites that we subscribe to.
Place your property in the newspapers as agreed between us.
Schedule viewings of your property as required to all prospective tenants until your home is rented. We will liaise with the current tenant and issue notices as required.
Erect a “For Rent” sign (if agreed) on your property at time of listing and drop leaflets in the area where agreed.
We will check all applicants to:
Discuss that they have a good reason to rent the property, and are aware of the dates and nature and special appeal of the property and the requirements.
Verification of the applicant’s employment by checking the advertised address and phone number of the business before ringing the offered business number. Ring the previous business employment.
Verification of applicant’s former renting references by submitting a privacy statement to the previous agencies.
Keep you informed and (unless instructed otherwise ) refer all potentially suitable applications to you for your approval.
Put the selected tenant through TICA national database check. Complete a police check if you choose.
Give the approved tenant our welcome pack which outlines our and the owner’s requirements for renting the property. Send the tenant the RTA QLD Tenants Guide. Set up the tenant is our management system.
Let your property for the asking amount of rent. (as outlined in your management agreement with us). We will not let your property at a lower amount, without first obtaining your permission.
Complete and execute the tenancy agreement, obtain 4 weeks min bond and two weeks in advance, giving receipts prescribed before giving the tenant’s possession of your property with an entry key for each person on the lease and a set of keys for each opening.
Lodge the bond within 10 days.
Give you access to your owners viewing of your property, showing your property details, your tenants agreement and rent payable, your account, amount of bills payable, jobs and Inspections completed, disbursement amounts and documents available. We recommend that we pay the insurance for you as a free service.

Rent Collection
Process rent receipts daily and issue you the money owed weekly through our management system.
Have a zero tolerance rent arrears policy which we outline clearly to all tenants when they are seeking to rent through us. We discuss the consequences. We check rents daily and issue notices to tenants via email and text.
Contact you to make recommendation and seek your instructions, should termination of the tenancy be an option.
Keep you informed of the rent payment though the online Owners Portal
Keep you informed throughout the legal process, should termination be necessary.Provide you with an annual financial summary (if requested).
Routine Inspections
Produce an Entry Condition Report as a legal document with photographs before the property is let.
Conduct a routine inspection within one month of the tenancy to make sure the property and furniture is being used as required checking against the Entry Condition Report and reminding the tenant of the required care of the property. If tenancy is proceeding well, three inspections a year or every 16 weeks.
We will provide you with access to the report and photos where allowed. We report to you any repairs or preventative maintenance that may be necessary.
We will conduct a comprehensive property inspection when the tenants vacate, matching the condition of the property Entry Report.
Maintenance and Repairs
Maintenance including preventative is important to maintain your property in a good condition to satisfy the tenant. Well maintained property command higher rents and from good quality tenants.
- Receive Notice from tenant, property manager or owner, ring tradesperson and get three quotes, inform owner and get approval, send emails and indicate if urgent, discuss and obtain permission from the owner.
- Send out automatic notice to tenant, tradesperson and owner scheduling the repair work.
- Check repair work once it is completed. Report to owner. Once satisfactory, pay tradesperson having obtained invoice and warranties.
We liaise with the tenant to ensure their ” peace, quiet enjoyment and comfort” of your property. Give them the Tenants Welcome Kit and renting in Queensland booklet. Remind them of their requirements to look after the property and pay the rent. Manage the renewal more than two months before the expiry date to review the rent, discuss with them, send out a renewal lease or a notice to leave at the end of the lease.
